Sales Coordinator

Job Description:

 

This position will assist directly in:

  • The writing and processing of our customer sales contracts.
    • Being a direct contact with our Legal group on the processing of our Sales Service contracts, NDA’s and other legal documents.
    • Maintain and distribute a record of Sales Contract updates and current status with the Sales group and Management.
    • Customer Sample Reports and Requests- Keep an updated tracking report of our customer sample requests on a Monthly Basis. 
  • Assist on the processing of internal forms for the set-up of new customers (NAN’s and NDA’s) into our system.
  • Assist with Railcar Management and Demurrage Reporting to Sales.
  • Assist on Customer Complaints.
  • Work with Customer Service to address customer inquiries, and system issues.
  • On a monthly basis, input the Sales Volume forecast by customer and grade type for the upcoming month period.
  • Input the Annual Sales Budgeted volume by Account for each upcoming year by the Third week of November and then updated by the Third week of December for the next calendar year.
  • Keep track of Annual Sales and Monthly Sales versus Monthly forecasts on a weekly basis to help communicate that our forecasted numbers are being met.
    • Maintaining our YTD sales volumes versus our forecasted sales volume 
  • Work with Account managers on any “special” customer requests.
  • Maintain a record of New Business Accounts and Sales updates.
  • Manage and update internal department systems such as Pricing Validation Management, Railcar holding, and Self Auditing.
  • Prepare, distribute and maintain a record of internal and external communications on behalf of Vinyl Division.
    • Maintain/Update the Customer “Mailing List” master on a Quarterly Basis
    • Write-up and distribute our External Vinyl Division Communications with our Customer’s (Price Increase Letters, Force Majeure letters and Service updates
  • Generate and produce presentations and spreadsheets for the purpose of Vinyl Sales review.
  • Receive, Distribute and Keep a file of the Vinyl Sales Teams Weekly and Monthly Itineraries to the Vinyl division Management team.

Other duties as assigned by supervisor. 

 

QUALIFICATIONs REQUIRED: MINIMUM COMPETENCIES, SKILLS, EXPERIENCE, AND/OR PRIOR TRAINING

 

  • 4 year college degree
  • Chemical Industry Experience is preferred but not mandatory.
