Service Administrator

Job Summary:

 

Service Administrator facilitates the efficient operation of the service department by performing a variety of clerical and administrative tasks.

 

Essential Functions: 

- Processes repair orders including checking repair orders for proper accounting, coding, dollar amounts, percentage markups

- Coordinate loaner vehicles for guests

- Scheduling appointments and make outbound calls to customers

- Flag all warranty repair orders to POS system (WarrCloud)

- Process and organize vehicle service contracts, balance schedule

- Prepaid maintenance/balance process

- Submit and balance all credit card payments

- Completes manufacturer documents requests

- Reviews every ISP charge for proper processing and management approval

- Answering and transferring in-bound phone calls to the appropriate departments

- Filing service paperwork

- Other duties may be assigned

 

Qualifications:

 

Minimum Qualifications:

  • High school diploma or equivalent
  • Ability to lift up to 15 pounds
  • Ability to perform all essential functions of the job description

Preferred Qualifications:

  • One year of administrative experience or experience working in an automotive environment
  • Excellent customer service and administrative experience
  • Excellent verbal and written communication skills
  • Basic understanding of administrative and clerical procedures and systems; such as record keeping and filing
  • Excellent organizational skills and attention to detail
  • Ability to work independently
  • Excellent time management skills
  •  
  • Proficient with Microsoft Office Suite or related software

 

Physical Demands: 

  • Regularly stands, walks, sits; uses hands; reaches with hands and arms; talks and hears. Occasionally climbs or balances; stoops, kneels, crouches, or crawls; lifts up to 15 pounds
  • Prolonged periods sitting at a desk and working on a computer.

 

Environment/Noise: 

  • Noise level is moderate
